FieldFlow Go Privacy Policy

This policy explains how FieldFlow Go handles information when authorised users access the FieldFlow platform from a mobile device.

Who this policy applies to

FieldFlow Go is provided by Avenya for organisations that use the FieldFlow field-service platform. Your organisation controls the business records and user accounts available through its configured FieldFlow environment. Avenya may process information on behalf of that organisation, depending on the organisation's service and hosting arrangement.

Information the app handles

  • Account information, such as your name, email address, username, account identifier, organisation, and authentication session.
  • Field-service records, including jobs, customers, sites, assets, forms, checklists, schedules, time, travel, expenses, parts, and status updates.
  • Content you add, including notes, comments, photos, videos, files, documents, drawings, signatures, and voice content.
  • Device and notification information, including a push-notification token and basic technical information needed to operate and update the app.
  • Map and app-operation information, including device and request metadata, IP address, pseudonymous installation or SDK identifiers, map interactions, crash information, and performance information processed by the app's map, notification, and update providers.
  • Location information when you allow location access, as described below.

Background location

Location reporting is optional. If you choose Allow location after signing in, FieldFlow Go collects precise location while you use the app, in the background, and when the app is closed. The app sends these updates to your organisation's FieldFlow environment to update its technician location and support field-service travel. The app shows this explanation before asking for device permission.

You can turn Location reporting off in FieldFlow Go Settings and can also change location permission in your device settings. Map and navigation features may request foreground location separately when you use them.

How information is used

  • Authenticate users and connect them to their organisation.
  • Show, create, update, synchronise, and complete field-service work.
  • Provide maps, navigation context, attachments, signatures, and forms.
  • Send assigned-job notifications and open the relevant job.
  • Maintain security, reliability, support, and app updates.
  • Meet legal obligations and protect users, organisations, and services.

Sharing and service providers

Information is shared with the FieldFlow organisation whose account you use. It may also be processed by providers that support hosting, notifications, app distribution, maps, storage, security, and technical operations. These providers receive only the information needed to provide their service, subject to their contractual terms and applicable law.

Avenya does not sell FieldFlow Go personal information, does not use it for cross-app advertising tracking, and does not include advertising in the app. Information may be disclosed when required by law or to protect legal rights, safety, and service integrity.

Maps, notifications, and app updates

FieldFlow Go uses Google Maps Platform to display maps and route context. The Maps SDK may process device and request metadata, IP address, a pseudonymous SDK identifier, map interaction events, crash information, and performance information to operate and improve Google services. Google describes this processing in its Privacy Policy.

Push notifications use Expo notification services and Firebase Cloud Messaging or Apple Push Notification service. These services process a device installation or push token so notifications can reach the correct app installation. EAS Update processes app, update, installation, and failed-launch information to deliver and monitor app updates. Expo describes its processing in the Expo Privacy Policy.

Storage and retention

Business records are retained according to your organisation's policies and service arrangement. FieldFlow Go keeps a local cache and session information on the device so authorised work remains available and can synchronise. Users can sign out or clear app data from Settings. Device backups and records held by an organisation may follow separate retention schedules.

Security

FieldFlow Go uses platform security controls and encrypted network connections to protect information in transit. Organisations are responsible for securing their accounts, devices, configured environment, and reviewer or workforce credentials. No method of storage or transmission can be guaranteed to be completely secure.

Your choices and rights

Contact your organisation's FieldFlow administrator to access, correct, export, restrict, or delete account and business information. You may also contact Avenya at hello@avenya.ai. Avenya will direct the request to the appropriate organisation when that organisation controls the information.

International processing

Your organisation and its service providers may process information in countries other than your own. Applicable contractual, organisational, and legal safeguards depend on the organisation's service and hosting arrangement.

Children

FieldFlow Go is a business application for authorised adult workers and is not directed to children under 18.

Changes to this policy

This policy may be updated when FieldFlow Go, its data practices, or legal requirements change. The latest version and effective date will remain on this page.
